How a rule is built

An automation is a simple “when this, do that.” You pick a trigger — a task is created, or a task moves into a particular status — and then one or more actions.

  • Set priority — e.g. anything that hits “Blocked” becomes Urgent

  • Assign to a teammate — route “In Review” tasks to your editor automatically

  • Create a follow-up task — spin up “Send recap” whenever a task is created

  • Notify someone — ping the project lead when work reaches “Done”

Three rules worth stealing

Editorial hand-off

When a task moves to “In Review,” assign it to your editor and notify them. The writer never has to remember who’s next.

Kickoff checklist

When a task is created in a new engagement, create a “Schedule kickoff” follow-up due in two days. Nothing slips through on day one.

Escalation

When a task lands in “Blocked,” set it to Urgent and notify the project lead so it gets unblocked fast.

Automations live under Settings → Automations and run the moment a task changes. Build one in under a minute and stop doing the same three clicks forever.
