Do my clients need a password to log into the portal?

No. The client portal uses magic-link access, so there are no passwords to set, remember, or reset. Your client enters their email, receives a secure sign-in link, and clicks it to land straight in their portal. This matters because passwords are the number-one reason clients stall. The person approving your proposal often isn't technical, and a forgotten password is enough to delay a signature for days. A link in their inbox removes that friction entirely while keeping access tied to an email address you control.

Yes. Mark an expense as billable and, if you like, add a markup percentage. Then select the billable expenses for a single client and choose “Bill to client” — Kliently creates a draft invoice with each expense as a line item and the markup applied. Once billed, the expense is flagged so it can’t be charged twice.

Can Kliently charge late fees automatically?

Yes. Turn on automatic late fees and choose either a percentage of the amount due or a flat charge, plus a grace period in days. The daily billing job then applies the fee once to invoices that are still overdue — no manual tracking required.

Can I password-protect a file I share with a client?

Yes. When you create a share link you can set an optional password, an expiry date, and whether the recipient is allowed to download the file or only view it. The link works without the client creating an account, and you can revoke or change it at any time.

What can I build an invoice from in Kliently?

You can build an invoice two ways: from unbilled hours or from completed milestones . Hourly work pulls your tracked time into lines automatically; fixed-scope work bills against the milestones you've marked done. Most freelancers use both over time — hourly for ongoing retainers and ad-hoc work, milestones for fixed-fee projects. Either way the source data already lives in Kliently, so the invoice assembles itself rather than starting from a blank page. Of course, you can also add manual lines for anything that doesn't come from time or milestones.

How do clients actually pay an invoice in Kliently?

Clients pay from the client portal — the same magic-link space where they review proposals and sign contracts. When you send an invoice, the client gets an email link, opens the invoice, and sees a pay button for each method you've turned on. There are no passwords and nothing to install. If you've enabled cards, they pay by card; if you've enabled UPI or bKash, those show up too. The moment the payment clears, the invoice auto-reconciles and its status updates, so you don't have to mark anything paid by hand.

A project is the engagement — a body of work for one client, with its own billing type, budget, and milestones. Tasks are the individual steps inside a project: things with an owner, a status, and a due date. Tasks roll up to their project, and time tracked on a task flows into the project’s billable hours.

All three. Tasks can have nested subtasks and a checklist of items. Dependencies let you mark a task as blocked by another — Kliently won’t let you complete a task while an unfinished blocker remains. Lead with the client's problem on the cover, make the scope unambiguous, and put pricing where it lands after the value is clear. How is my data encrypted in Kliently?

Sensitive secrets are encrypted at rest with AES-256-GCM — the same authenticated encryption standard used to protect data in serious production systems. That covers the things you'd most want kept private, including your stored API keys. Encryption is one layer of several. Kliently also enforces workspace isolation and Postgres row-level security so data can't leak across accounts, and records sensitive actions in an append-only audit log. More on security .

Can I run more than one timer at the same time in Kliently?

No — and that's deliberate. Kliently keeps one running timer per workspace . When you start a new timer, the one that was already running stops and saves automatically, so you never end up with two clocks ticking on two projects at once. This matches how most people actually work: you focus on one thing, then switch. The moment you switch, your previous entry is captured with its hours and rate intact.
